Duties:
|
We are seeking a dedicated Administrative Support Volunteer to assist our organization with various administrative tasks. This position is ideal for individuals who are tech-savvy, detail-oriented, and can commit to working 1-1.5 hours each day (may vary) for a minimum of six months. Support from CWA Committee members and Board Members.
• Responding to any emails/inquiries in a timely and professional manner
• Adding schedules to IVolunteer, weekly
o IVolunteer Pilot Inputting
o Ensure that old passengers are removed from the system each week (Max 50 Participants)
• Support the organization of digital files, adding important documentation into Google Drive
o Consent forms
o Monitoring Social Media Consent
o Emergency Contact Forms
o Incident Reports
o Pilot Vulnerable Sector Checks
• Add new pilots’ emails to CWA group
• Add new pilots to Facebook CWA Private Group
• Ensuring Passengers have Pilots on a day-to-day basis
o Reaching out to pilots to ensure they know of any vacancies and can schedule themselves into IVolunteer
• Cancel rides that do not have pilots
o Phone Call and Email Follow Up
• Ensure that Pilots are fulfilling their 3-ride commitment per month
• Manage and respond to emails, maintaining clear and organized communication.
o If someone is applying to be a volunteer, sending them proper communication
o Sending demo day requests to Volunteer Coordinator
o Responding to Passengers who may be trying to book rides and are having difficulties with IVolunteer
o Manually inputting Pilots and Passengers when needed
• Assist with scheduling and coordinating fundraising events
o Coming up with fundraising initiatives
• Reaching out to local businesses for fundraising opportunities
o Golf Tournament outreach
o Relaying this to volunteer coordinator to secure Volunteers
• Respond to Pilots inquiries
o Bike Maintenance
o Lock Codes
o Accessing Bike Hubs
o Printing Additional Paperwork for each Bike Hub
o Documentation Retrieval
o Donations
• Collaboration with Care Facilities and Similarly Aligned Initiatives in the Area
o LTC Facilities
o Retirement Homes
o Alzheimer's Society
o Autism Foundation
o Bay Active Living Centre
• Work closely / collaborate with the Volunteer Coordinator and CWA Vice Chair (Amanda)

Skills Expected:

• Must have access to a personal computer and reliable internet connection.
• Advanced proficiency in technology, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
• Exceptional attention to detail, with a commitment to producing accurate and high-quality work.
• Strong organizational skills and the ability to manage time effectively.
• Excellent written and verbal communication skills.
• Previous administrative or volunteer experience is a plus.
